Last updated: 16 February, 2026The terms below outline the agreement between Gold Petal Proposals (referred to as “we” or “us”) and you, the client. By submitting a deposit, you agree to the following terms.
1. Booking & Payment
To secure your event date, a non-refundable deposit of $200 is required and will be applied to the total balance. The remaining payment is due no later than 72 hours before the scheduled event. Late payment may result in cancellation, forfeiting the deposit. Setup typically begins 1 to 2 hours before the event, depending on complexity. You will be informed in advance if additional setup time is needed. Each booking includes the hire duration agreed upon at the time of booking. Packdown begins immediately at the end of the agreed hire period. Hire fees are based on the agreed duration and are not reduced for early finishes; however, additional time may incur extra charges.
2. Weather
Weather conditions will be monitored at least 72 hours before the event. If rain, high winds, or other unsafe conditions are forecast that could compromise the safety of people or equipment, we will do our best to help you reschedule or find a suitable alternative location. However, we are not responsible for cancellations, changes, or incomplete setups due to weather if no backup option is available. We strongly recommend arranging an indoor backup location for outdoor events. If you choose not to reschedule due to inclement weather and do not have a backup option in place at least 48 hours before the event, and instead proceed at your own risk, you will only be eligible for a 30% refund of the total package cost in the event of cancellation.
3. Reschedules & Cancellations
If you cancel 7 or more days before the scheduled event, your deposit will be fully refunded. Cancellations made within 7 days will result in the forfeiture of the deposit.
In rare and extreme circumstances beyond our control (e.g., illness, accident, or injury), we reserve the right to cancel or reschedule your booking:
- If we cancel, you will receive a full refund.
- If we reschedule due to non-weather-related circumstances, a 15% discount will be applied to your total payment as a goodwill gesture.
4. Venue Booking & Client Responsibilities
If we book a venue on your behalf, you accept full responsibility for any damages or issues related to that booking, which may result in additional fees. If you book the venue, you are responsible for:
- Ensuring third-party setup is permitted
- Providing accurate information and access in a timely manner (e.g., keys, codes)
- Securing pets or obstacles
Failure to meet these responsibilities may result in cancellation without refund or an incomplete setup.
5. Overtime & Delays
Events will proceed as scheduled, regardless of client or guest lateness. If your event runs overtime, an additional fee of $100 per 30 minutes will apply.
6. Loss, Damage, and Liability
You are responsible for any loss, theft, or damage to décor, props, or equipment during the hire period. We are not liable for injury, accident, or property damage except where caused by proven negligence or equipment failure. If you are not present at the event start time, you assume responsibility for the event setup. Any issues must be reported as soon as reasonably possible. You are also responsible for:
- Guest safety
- Compliance with venue policies and laws
- Personal belongings
7. Client-Supplied Alcohol Disclaimer
You are responsible for supplying any alcoholic beverages. We do not sell, provide, serve, store, or transfer alcohol and are not liable for its consumption or any resulting consequences. You must ensure any alcohol provided complies with relevant laws and venue regulations.
8. Consumables
Any food or beverage items we provide are commercially packaged, sealed, and non-perishable at the time of delivery. We do not handle, prepare, or open any food or beverage. Please inform us of any dietary restrictions at least 7 days prior to the event to allow for planning.
9. Safety, Health, & Accessibility
You are encouraged to inform us of any safety, allergy, or accessibility considerations as soon as possible and no later than 7 days before the event to help us provide a safe and comfortable setup. Any sensitive information you provide, including health details, will be kept confidential and treated respectfully. While we will take reasonable steps to provide an accessible setup, certain factors such as building infrastructure, venue policies, or public location conditions may be beyond our control. You are responsible for any issues that arise due to failure to disclose relevant information in advance. This may also result in cancellation or an incomplete setup without refund.
10. Media
We reserve the right to use any media captured during the event setup, including but not limited to photos, video, and audio, for promotional purposes on our website and social media channels. You may opt out of having your and your guests' image, likeness, or voice included in such media by notifying us in writing. If the event is at a private residence, you may withdraw consent for all media capture. If commercial photography or recording is prohibited at the venue, you must notify us in advance.
11. Legal
This agreement is governed by the laws of Victoria, Australia. Any changes must be agreed to in writing by both parties. By paying the deposit to confirm your booking, you acknowledge that you have read, understood, and fully accepted these terms.

We do not guarantee the privacy practices of other websites you may access via links on our site.

- Deliver our proposal planning services

- Improve our customer experience and service offerings
We may also use your information for related purposes that you'd reasonably expect — for example, asking for feedback after your proposal or letting you know about special offers.

Sensitive information (such as health information or religious beliefs) is only collected if necessary — and only:
- With your consent,
- When required by law, or
- For a specific purpose you've asked us to help with (e.g., accessibility or cultural considerations)
5. Sharing Your Information
We only share your personal information:
- With your consent (e.g., if a photographer or venue needs your contact details),
- With service providers we trust to help us deliver your experience (they are bound by confidentiality), or
- When required by law
We do not sell or rent your data to marketers or unrelated third parties.
6. Storing & Securing Your Information
We take reasonable steps to protect your information from misuse, loss, or unauthorised access. This includes:
- Secure password-protected systems
- Only allowing staff access on a need-to-know basis
When we no longer need your information, we'll securely delete or de-identify it, unless we're required to keep it (e.g., for legal or tax reasons).
7. Accessing or Updating Your Information
You can request access to your personal information at any time — and ask us to correct it if it's wrong or out of date.
